Academy Enrollment Data: When registering for a course, we collect your full name, email address, mobile phone number, city, country, occupation, organization, programming skill level, reason for joining, and chosen cohort.

Account and OAuth Authentication: If you create an account or sign in with Google or Facebook, we store only basic identity data (name, email address, provider ID, and avatar image) needed to maintain your profile. We do not receive or store your third-party account passwords.

Payment and Billing Records: For course tuition payments and software invoices, we record payment timestamps, amounts, currency, internal reference numbers, selected payment method (such as M-Pesa, Mixx By Yas, Airtel Money, Halopesa, or Card), and payment status. We never store your private mobile money PIN or credit card security CVV numbers on our servers.

Technical and Analytics Data: We automatically log non-sensitive technical information including IP address, browser type, operating system, and request metadata to protect against abuse and ensure platform reliability.

02. How We Use Your Information

Course Administration: To process your enrollment, allocate cohort seats, issue verified digital receipts, provision access to live masterclasses and starter repositories, and provide instructor support.

Certification and Verification: To evaluate capstone project submissions and generate verifiable digital Certificates of Completion.

Communications: To send transactional emails (enrollment confirmations, receipt links, class schedule updates, and security notices). We do not send unsolicited marketing spam.

Service Delivery and Quotations: To manage client software development milestones, deliver technical deliverables, and respond to inquiries.

03. Data Protection and Information Security

Encryption Standards: All data transmitted between your browser and our servers is protected using industry-standard TLS 1.3 / 256-bit encryption.

Access Control: Student information and client data are strictly restricted to authorized administrators and instructors on a need-to-know basis.

Integrity and Backups: Database assets and student records are maintained in secure environments with regular encrypted backups to prevent data loss.

04. Third-Party Service Providers

We never sell, rent, or trade your personal data to third parties. We share limited information strictly with trusted infrastructure partners to operate our platform:

  • Payment Gateways and Telecommunication Networks: AzamPay, Vodacom (M-Pesa), Yas (Mixx), Airtel, and Halotel for real-time mobile push and card transaction processing.
  • Cloud Hosting and Email Delivery: Secure cloud servers and transactional email services to deliver invoices, receipts, and cohort communications.
  • Authentication Providers: Google OAuth and Facebook Login for secure social account authentication.

05. Your Data Rights and Access

You have the right to request a copy of your personal data stored with CodeUnion Software, update or correct your profile information, or request the deletion of your account and records, subject to statutory financial auditing requirements.
